GolfEx LLC (“GolfEx”, “we”) makes the GolfEx app for golfers, the GolfEx console that golf course staff use to run the course, and this website. This policy says what each of them collects, why, who else handles it, and how long we keep it. Questions or requests: apps@golfex.io.
What we collect
In the golfer app
- Who you are at the course. Your name and the details your course sets up for your round, such as your group, cart and membership. You join with an invite from the course.
- Your location, during your round. With your permission, and only while the app is open (“while using the app”), the app sends your position so the course can find you in an evacuation, follow pace of play and know which hole you’re on. Positions are accepted only while you are on a round. Your positions, and the hole-by-hole progress worked out from them, are deleted automatically after 30 days.
- Your mobile number, if you give it, and a record of each kind of text you agreed to receive: when you agreed and the wording you were shown. See Text messages.
- Chat messages between you and the pro shop, including replies you send by text.
- Safety alerts you acknowledge, so staff can see who still needs to be reached.
- A notification token for your phone, if you allow notifications, so we can send you alerts and messages.
- Your settings, such as whether chat or emergency texts are on.
Other golfers never see where you are. Your location is shown only to staff at your course.
In the staff console
For course staff: name, work email, job title and role, sign-in times, and a record of the actions taken in the console (for example, who sent an evacuation). Passwords are stored only as a one-way hash.
On golfex.io
- Early-access sign-ups: the email address you enter, saved to a Google Sheet so we can tell you when the app launches.
How we use it
- To keep golfers safe: evacuation and lightning alerts, and showing staff who has and hasn’t been reached.
- To run the course: pace of play, cart requests and messages with the pro shop.
- To send the notifications and texts you asked for.
- To secure the service: sign-in, preventing misuse and fixing problems.
Text messages
GolfEx LLC does not sell, rent or share mobile phone numbers or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
Texts are sent only on the programs you agreed to in the app, and you can stop either one at any time: reply STOP, or switch it off in the app. Details on the Text messages page.
Who else handles it
We use these service providers to run GolfEx. Each receives only what it needs for its job:
- Render hosts our servers and databases, and this website.
- Twilio delivers our text messages: it receives your number and the text.
- Apple (Apple Push Notification service) and Google (Firebase Cloud Messaging) deliver notifications to your phone: they receive the notification token and the notification.
- tomorrow.io and Xweather provide weather and lightning data. They receive the course’s location, never a golfer’s.
- Mapbox provides the maps in the staff console.
- Google stores early-access sign-ups from this website.
We may also share information if the law requires it, or to protect someone’s safety.
How long we keep it
- Your positions, and the hole-by-hole progress worked out from them: 30 days, then deleted automatically.
- Everything else: while you use GolfEx at your course, or until you ask us to delete it.
When you ask us to delete your data, we delete your golfer record with your positions, devices, alert acknowledgements and sign-in tokens. Chat messages stay in the course’s conversation history, no longer linked to you, and we can remove your name from them.
Children
GolfEx is not for children under 13, and we don't knowingly collect personal information from children under 13. If we learn that we have, we delete it. If you think a child under 13 has given us information, email apps@golfex.io.
Your choices
- Location: allow or deny it in your phone’s settings. Without it, the course can’t find you on the map in an emergency.
- Notifications: allow or deny them in your phone’s settings.
- Texts: reply STOP, or turn each kind off in the app.
- To see, correct or delete your information, email apps@golfex.io.
Security
Connections to GolfEx are encrypted. Passwords and sign-in tokens are stored only as one-way hashes. No system is perfectly secure, so tell us at apps@golfex.io if you think something is wrong.
Changes
If we change this policy, we’ll post the new version here and update the date at the top of this page.
